Student Records Officer

This permanent part time job oversees a critical school function that requires someone with high attention to detail and data entry expertise. This integral role is responsible for entering and maintaining student contact and enrolment information. The accuracy of the data plays a key role in school operations and communication with families.

Key duties of the role include (see full position description attached below);

• Data entry using the agreed procedures relating to student records creation and management
• Work with staff to assist in managing and tracking new enrolments and student leavers
• Verify entered data by reviewing, correcting, deleting, or re-entering data; combining data from multiple systems when information is incomplete; purging files to eliminate duplication of data
• Provide standard reports on student information from the data held in the student management system, including reporting to the Ministry of Education
• Provide information as and when requested to students, staff and caregivers
• Maintain student, caregiver and staff privacy and protects school operations by keeping information confidential
• Ensure compliance with record retention and archiving requirements
• Reviewing CCTV footage in accordance with CCTV guidelines
• Be responsible for police vetting applications, ensuring adherence to school processes and legislation including Children's Act, Privacy Act etc.
• Reception duties (as cover only)

This is a permanent part time, term time only position. The hours will be 9.00am - 2:30pm term time only. This role will be placed between Grade 3/Step 5 and Grade 3/Step 7 (dependent on experience) on the Support Staff in Schools' Collective Agreement with an hourly rate of $30.26 - $31.55. This role has the opportunity for additional hours as the school roll increases.
